Job Description

1. MAIN PURPOSE OF JOB

The role will be responsible for generalist HR activities within the Shared Service Centre including, but not limited to: main point of contact for all colleague relations support (Disciplinary, Managing Attendance, Grievance and Capability) and TUPE transfers support both in and out of the company. The role also involves contributing to a range of projects in support of the HR strategies.

All aspects of the Shared Service Centre will be familiar to this role, with a strong employee relations focus. The role is responsible for supporting operations, therefore occasional travel will be required.

2. PRINCIPAL ACCOUNTABILITIES 

Employee Relations 

  • Support and coach managers/supervisors on various general human resources queries through telephone, email and face to face
  • Be the first line of support for all employee relation queries such as disciplinary, grievance, managing attendance and capability issues
  • Draft invite & outcome letters and prepare bundles for meetings such as: disciplinary, grievance, managing attendance reviews and performance reviews
  • Provide support and guidance to managers/supervisors in employee relations meetings such as: disciplinary, grievance, managing attendance reviews and performance reviews
  • Ensure adherence to HR policies and employment law legislation
  • Collaborate with all HR colleagues with the formulation of HR policies and procedures
  • Demonstrate integrity to gain certainty and trust from all colleagues 

Compliance 

  • Handle confidential information in a discreet and sensitive manner
  • Carry out data audits, focusing on GDPR requirements
  • Take responsibility for the implementation of all HR policies
  • Provide guidance to managers/supervisors in line with current employment law

 General HR

  • Provide support with consultations in relation to HR activities including: TUPE in and out, and changes to terms and conditions
  • Support and advise managers on recruitment and selection strategies whilst liaising with the Head of Resourcing
  • Update and maintain the HR system
  • Provide support to the HR Shared Services team, with monitoring the HR inbox with the People Administrators, supporting with key new starters and other administrative HR queries.

 Projects 

  • Contribute to the HR Shared Services plan, utilising innovation and best practice
  • Carry out/contribute in project to support the group strategies or to improve the effectiveness of the Shared Service Centre
  • Assist in the delivery of line manager development sessions 

Communication 

  • Maintain a high level of communication across the business
  • Work in collaboration with and maintain strong working relationships with the People Business Partner’s.
  • Provide regular updates on progress, challenges and achievements to the People Business Partner’s
  • Establish and maintain respectful relationships with all managers within the business
  • Maximise knowledge sharing within the HR team and across the business

3. KEY PERFORMANCE INDICATORS

  • HR administration is up to date and accurate
  • HR queries are responded to in a professional manner, ensuring processes are followed precisely
  • HR advice is prompt, legal and follows policies to support the resolution of issues
  • HR system is updated effectively and issues are escalated as appropriate 

4. KNOWLEDGE AND SKILLS

  • Administration experience, HR would be desirable
  • Employment law knowledge
  • CIPD qualified or a post-graduate diploma in HR is desirable
  • Attention to detail and the ability to ensure written correspondence are of the highest quality
  • Experience of working in a fast paced organisation
