About the role

Sports Administrator – Maternity Leave Cover

You will be responsible for providing administrative support within the office setting. You will be jointly responsible for completing admin tasks in relation to HR, Finance and operations work based in Cheam, Sutton.

       PRINCIPAL ACCOUNTABILITIES

       Sports Administration

  • Produce accurate and timely financial and usage reports for Merton & Sutton sports
  • Respond to all enquires in a timely and professional manner
  • Manage the Merton & Sutton sports bookings
  • Assist with the Merton & Sutton sports bookings and enquiries
  • Increasing participation of all sports without detrimental effect to the sports surfaces
  • Maintain filing systems and audit trails to ensure the smooth operation of all sports activities and administration systems and standard operating procedures
  • Liaise with the Regional Accountant and Senior Contract Manager to ensure the accurate and timely transfer of information to the monthly corporate accounts
  • Help ensure that we deliver a professional sports management service for all users
  • Utilise innovation by identifying areas where we can improve and work with the Senior Contract Manager to deliver these
  • Working with the governing bodies of the various sports i.e. London benchmarking. Enable Leisure & Culture
  • Assist in the production of weekly and monthly reports when necessary using several different reporting software packages, i.e. Excel, ClubSpark, BookTeq
  • Ensure that sports offices are maintained in a safe, clean and tidy condition at all times
  • Ensure that all accident and H&S reporting is completed with integrity and on time
  • Ensuring the sports reception team deliver excellent customer service at all times

Office Administration

  • Taking bookings and answering for the cemeteries team whenever possible
  • Answering the telephone in a courteous and timely manner
  • Opening, distributing and dealing with any post
  • Ensure that all visitors are treated in a respectful and efficient manner and provide refreshments as and when required
  • Help to arrange meetings, organise catering and take minutes as required
  • Ensure that office filing is maintained and records are archived correctly
  • Keep a diary or record of dates of meetings, training sessions, review dates etc. as required to assist managers
  • Use Outlook to send and collate e-mails as requested by Contract Managers
  • Type letters, reports etc.
  • Administration support for the Contract/office team
  • Collation of reports as and when required

           KEY PERFORMANCE INDICATORS 

  • Office sports systems: Maintenance of systems on a daily basis, ensuring that all paperwork is processed and filed to support effective management of contractual arrangements between the company and its clients, including sports facility users
  • Financial administration: Timely and accurate submission of weekly, monthly and quarterly reports and support documentation to line manager
  • Timely submission of reports regarding use of sports facilities and any associated monies

        KNOWLEDGE AND SKILLS 

  • Proven track record in a busy admin role
  • Proficient in Microsoft Office Packages, particularly Word, Excel, PowerPoint and Outlook.
  • At least an NVQ Level 2 or equivalent in Business Admin
  • Excellent verbal and written communication skills, with the ability to effectively communicate with a diverse range of people
  • Demonstrable aptitude to utilise information technology including spreadsheets, email etc.
