About the role

        MAIN PURPOSE OF JOB

The Contract Liaison Administrator (CLA) is responsible for carrying out contract liaison duties to ensure the requirements of the contract are performed effectively. This role is responsible for the day to day representation of the contractor to help assist contract manager with compliance responding to complaints and queries.

  • The role involves working alongside contract manager to delivery service and to make sure KPI and SLA are achieved and delivered other responsibilities include Raising purchase orders,
  • Supporting operational managers with daily queries
  • Responding to client queries,
  • Completing time sheets
  • Monitoring absence levels and
  • Liaising with Human Resources and Payroll to ensure personnel records are kept up to date at all times

The CLA will be required to organise and support contract supervisors and  the Grounds Operatives, on the ground, they will be based at our head office, Mariner House in Dartford working Monday to Friday 8am to 4pm, with the requirement to be able to travel  local idverde depot.

     PRINCIPAL ACCOUNTABILITIES

     Contract Performance & Delivery

As the Contract Administrator you will report into the Contract Manager and your main duties will include:

  • Raising purchase orders,
  • Supporting operational managers with daily queries
  • Responding to client queries,
  • Completing time sheets
  • Monitoring absence levels and
  • Liaising with Human Resources and Payroll to ensure personnel records are kept up to date at all times

         RELATIONSHIPS

  • Establish and maintain excellent client relationships
  • To be approachable and responsive to the needs of your staff and the client and minimise conflict
  • To communicate effectively and confidently both on a one-to-one basis and in groups.
  • To develop team work by effective communication and regular meetings

Customer/client care

  • To create a positive impression with clients, presenting a professional and proactive  attitude
  • Develop strong relationships with customers connecting with key business executives and stakeholders and preparing sales reports
  • To build strong, long term relationships with customers to ensure repeat and follow-on work
  • To understand the benefits of the company’s complaints and Customer Contact procedures
  • To have a good understanding of the Company, its history, business strategy, objectives and position in the market place
  • Ability to actively respond to residents and clients enquiries in a polite and timely fashion

        PEOPLE MANAGEMENT

  • Help assist CM and supervisors Manage the performance of all contract staff and assist in development.
  • To give all members of your staff the opportunity to discuss their work, problems and aspirations.
  • Manage any employee relations issues, utilising support from HR, within the parameters of Company policies
  • Manage the payroll inputting process to ensure timely and accurate payment to staff
  • Adhere to HR processes and procedures, including managing the use of the HR Software System such as timely updating of the system with starters/leavers details
  • Ensure the various pre-employment and annual checks are completed according to requests from central functions

         GENERAL

  • Utilise IT across every facet of managing the contract
  • Communicate with colleagues across the Group in order to share best practice and pool knowledge and resources
  • Feedback and take an active part in any cross Group initiatives/project teams
  • Constantly striving to improve and change to deliver best value
  • Operating  with CM as the  point of contact for any and all matters specific to your contract.KNOWLEDGE AND SKILLS
  • Proven work experience at a comparable level or role
  • Some Grounds Maintenance knowledge/experience preferred but not essential as training will be given on the job
  • Ability to work with contract supervisors to manage teams, to including monitoring of sickness absence/annual leave and all staffing issues daily
  • Assisting with the communicating and planning of the daily work schedules
  • Excellent listening, negotiation and presentation abilities
  • Strong verbal and written communication skills
